Front desk / Reminders

Reminders that stop the moment the visit is cancelled.

Appointment reminders by SMS, WhatsApp and email, built so that cancelling the visit cancels the reminder. Replies are read: confirmations are recorded, STOP is honoured, and anything else becomes a conversation.

The reminders report: a 6.7% no-show rate, missed visits, reminders sent, attendance after a reminder, and a weekly table where the no-show rate falls from 11.5% to 4.1%.
The no-show rate, counted honestly — only over visits that were attended or missed. Shown with sample data.

What it does

Reminders, in practice

Appointments from anywhere

From the connected EMR, an HL7 scheduling feed, a spreadsheet import or an SFTP drop — or added by hand at the desk.

SMS, WhatsApp and email

Rules send from 1 to 336 hours before the visit. Quiet hours (21:00 to 08:00 by default) move a text later; they never cancel it.

Cancel the visit, cancel the reminder

A sweep runs every minute. A reminder for a visit that was cancelled, attended or missed is cancelled before it goes, and a moved visit’s reminder is re-timed and re-worded.

One-word replies

C or Yes confirms, R asks to reschedule, STOP opts out of every channel and START opts back in. Anything else is left for a person in Messages.

A report that shows its working

The no-show rate is counted only over visits that were attended or missed, attendance is credited only where a reminder actually went, and every reminder that did not go says why.

How it works

From the first step to the last

  1. 1

    Appointments arrive

From the EMR, a feed, a file or the desk.

  2. 2

    Reminders are planned

By your rules, per channel, outside quiet hours.

  3. 3

    Every minute, checked again

Cancelled, moved or attended — the reminder follows the visit.

What it needs

Before you switch it on

Every module switches on and off by itself, per clinic, with its own screens, permissions and audit trail.

Worth knowing

Texts need a messaging provider, and in India a DLT-registered template; WhatsApp needs approved templates. Messages beyond the plan’s allowance are charged at cost plus a small margin.
